When booking a speaker, planners typically choose between two paths: engaging a speakers bureau or contacting the speaker's own management team directly. A bureau acts as an intermediary, offering a curated roster, consolidated contracting, and logistical coordination under a single agreement. The bureau's fee is built into the quoted price rather than billed separately, so the figure you receive already reflects their service. Direct booking means working with the speaker's personal agent, manager, or in-house team, bypassing the bureau layer entirely.

Each path has genuine strengths. Bureaus are well suited to planners who want comparative options across multiple speakers, who are early in the selection process, or whose organizations require a single vendor for compliance reasons. Direct booking tends to work well when you already know which speaker you want, when the event has unusual requirements that benefit from a closer relationship with the speaker's own team, or when you are coordinating a long-running partnership. Neither route is universally faster or cheaper — both depend on the speaker's calendar and the complexity of the engagement.

Regardless of which path you take, the inquiry-to-contract flow follows a broadly consistent pattern. Once you express serious interest, a hold is placed on the date to keep it provisionally available while details are confirmed. This moves to a formal offer once terms — including fee, format, and travel — are agreed in principle. The offer converts to a signed contract, typically accompanied by a deposit.
